Privacy Policy
How Chasten Club Ltd handles information for the Asylum Google Photos Sync service.
Scope
This policy covers Google Photos Sync, operated by Chasten Club Ltd for Club Asylum under the Asylum MCP Google application. The Club Asylum Forum is inactive and is outside this service.
Information used
The tool uses:
- our published event titles, schedules, publication status and portrait artwork;
- approved monthly calendar images and the information used to verify them;
- Google Business Profile access granted by an authorised operator, including the account and location identifiers needed to manage Club Asylum's photos;
- operational records connecting an event or calendar image to the Google photo created for it, together with processing dates, results and short error details.
How it is used
We use this information to publish the current weekly event posters and monthly calendars, avoid duplicate uploads, remove only photos recorded by the tool, retry tracked cleanup and diagnose failures. The tool does not use this information for advertising or profiling and does not publish Google Event Posts.
Services involved
Google processes the authorisation and Google Business Profile photo operations. Cloudflare runs the scheduled tool, stores its protected credentials, serves approved calendar images and stores the operational records described above. Protected copies of the OAuth connection files are also kept on the operator's computer for setup and recovery.
Retention and deletion
Event photos are kept until a later Monday batch has been added successfully. Monthly calendars are kept until their month ends. Operational records of uploads, deletions and uncertain attempts are retained to prevent duplicate changes and diagnose problems. There is currently no fixed automatic deletion period for those records. A manual deletion request can be made using the contact below.
Revoking access and requests
An authorised Google account holder can revoke access through Google Account permissions. Revocation stops future authorised Google operations but does not itself erase photos already published or operational records already retained.
